Participant Event Management Intern

Participants include Heads of State and Government, Ministers, and CEOs from more than 100 countries.

Join our Berlin Global Dialogue team as a

Participant & Event Management Intern

(40 hrs./week, starting on June 1, 2026, for six months)

and help shape the future by bringing your expertise and passion to ESMT.

How you will make a difference

As a Participant & Event Management Intern, you will be an integral part of the team delivering a high-level international summit. You will support both participant and event management, gaining hands-on experience at the core of a globally oriented dialogue platform.

In this role, you will contribute to the coordination of international stakeholders, support the preparation of complex operational processes, and assist in the on-site execution of the event. You will develop a comprehensive understanding of how participant management, data coordination, and event logistics interlink in a professional conference environment.

The logistical preparation for the event, will provide you with a clear overview of tasks, goals, and workstreams, enabling you to coordinate certain event-related workflows independently during the summit.

This internship offers a unique opportunity to gain practical insights into the planning and delivery of a high-profile international event, while working closely with an experienced and dedicated team.

Participant Management

  • Support the coordination and maintenance of participant data across internal systems and databases, ensuring a high level of accuracy and consistency
  • Conduct background research on prospective participants and stakeholders
  • Support the end-to-end participant registration process, including the use of registration portal and CRM platforms
  • Track and analyse registration developments, preparing data-driven insights and reports for internal decision-making
  • Manage participant communication, including drafting and responding to inquiries in a professional and timely manner
  • Contribute to the planning and execution of the accreditation process
  • Provide reliable administrative and organizational support to the participant management team in a fast-paced environment

Event Management

Before the Event:

  • Participate in meetings with all stakeholders and service providers involved in the logistical execution of the summit; take meeting minutes and coordinate follow-up actions.
  • Support the event manager in preparing operational documents, briefings, and run-of-show materials to ensure a comprehensive overview of the event flow.
  • Collaborate closely with the event management team and key service providers (e.g., catering, security, production, facility management) on logistical planning and coordination.

During the Event:

  • Provide operational support at guest and speaker welcome areas, as well as at designated information points.
  • Serve as the primary point of contact for the information desk, offering additional assistance and addressing inquiries as needed.
  • Oversee merchandise supplies across all relevant distribution points.
  • Provide overall support to the event manager and contribute to a smooth and professional event experience.

  • Proficiency in Microsoft Office (especially Excel and Word); experience with tools such as Salesforce or Cvent is a plus
  • Interest in events, stakeholder management, and international dialogue formats
  • Proactive, reliable, and eager to learn
